2024 Conference Policies

Registration Account

In order to register for any TxSGS event, you are required to have a TxSGS account. If you are a TxSGS member, you will already have this account and should sign into it before registering. If you do not have an account, you will be asked to create one during the registration process. You must be logged into your personal TxSGS account in order to receive TxSGS member discounts.

Cancellations & Refunds

The last day to submit cancellations and receive a refund is October 18, 2024.

  • Cancellations of conference registration prior to and including October 18, 2024 – You will receive a refund of your registration fee minus a $45 non-refundable administration fee. You will NOT have access to the syllabus.
  • Cancellations after October 18, 2024 – TxSGS does not accept cancellations after October 18, 2024.

Recording and Photography Policy

The Texas State Genealogical Society (TxSGS) does not permit the downloading or recording of lectures during TxSGS Live! or any access to On-Demand recordings. This includes but is not limited to audio recordings, video recordings, or literal transcripts, except by specific written permission.

Photos may not be taken of any session for any reason without the prior consent of the speaker.

Copyright Policy

All course-related materials, including the syllabus, handouts, and presentation slides, are protected by copyright. Presentations should not be recorded, nor slides screen-captured or photographed. Course materials are distributed for your personal use and are not to be shared or copied without written permission of the author.

Publication Consent

Participation in any of the door prize drawings, social media posts, or other TxSGS activity implies consent to publication of your name, city/state, and photograph in related promotional announcements. The privacy policy outlined on our website delineates your rights to control your information as it relates to other publications or events.

Social Media Policy

TxSGS permits and encourages the use of various forms of social media, including Facebook, Instragram, and blogging at our events as a means of summarizing, highlighting, excerpting, reviewing, and/or publicizing sessions, events, syllabus materials, speakers, or the conference in general, provided that only content excerpts are used as copyright law allows. This requires that only exact quotes are used on a limited basis and that the author or speaker is referenced and cited appropriately. The presentation material is not reproduced in full while using social media tools at any time.

While speakers have been informed of the TxSGS social media policy and are encouraged to permit the use of social media during their session, each speaker has the right to make an announcement at the start of the session barring the use of social media during the session.

We ask that at all times you please respect the intellectual property rights and copyrights of TxSGS and its presenters and speakers at our events.

Some guidelines for connecting with other genealogists during the conference:

  • Follow us on Facebook.
  • Use the conference hashtag #TxSGS2024 on all social media posts.
  • Highlight and comment on the program content but adhering to all copyright guidelines; do not share any of the materials being presented in detail.
  • Chat about products and services with other registrants, sponsors, and exhibitors in Whova’s Virtual Expo Hall.
  • Provide feedback to the TxSGS conference committee and staff by participating in conference polls and surveys.
  • Use Whova to review individual sessions thus providing feedback reaches to the TxSGS conference committee and staff for assistance in planning future events.
