The Preservation Capture System consists of the following parts:

- DSLR Camera (Sony a7 ILCE7RB 36 mp)
- Two (2) 64gb SD cards
- Sony F2.8 35mm lens
- Rigid Stand: 80/20 design “Shumaker D”
- Studio Lighting: two each Amran H528S led panels
- Computer:
- Dell I3650 Computer
- Monitor (27” 1080i resolution with adjustable stand)
- Tool set created for assembling and disassembling PCS
To obtain an Equipment Loan Grant, a Partner Society agrees to the following items:
- Become a partner of the Portal to Texas History (UNT) (“the Portal”) or other entity acceptable to TxSGS that will host the captured images online in a format that is free and accessible to the public.
- Identify one or more record sets for digitization that are acceptable to the Portal or other entity for hosting online.
- Maintain its Partner Society Membership in TxSGS throughout the loan period.
- Designate a member of the Partner Society as the Partner Society PCS Committee chair and provide contact information for that person to TxSGS.
- Pick up the PCS at a location designated by TxSGS.
- Provide a safe and secure location for storing and using the PCS.
- Provide at least one volunteer who can be trained to assemble, disassemble, and operate the PCS.
- Provide at least one volunteer who can be trained to edit captured digital images for hosting online by the Portal or other online entity.
- Provide society volunteer(s) with access to Adobe Photoshop or equivalent to edit captured digital images for hosting online.
- Provide a quarterly report to TxSGS on digitization progress.
- Recruit sufficient society volunteers such that the PCS is operated for an average of at least six hours per week.
TxSGS agrees to:
- Train a team of Partner Society members at a location designated by TxSGS on how to disassemble and reassemble the PCS stand, set up the camera and lights, and operate the camera.
- Train one Partner Society member on the digital processing of captured images required to produce images acceptable to the Portal or other entity that will host the captured images online.
- Limit the liability of the Partner Society to no more than $300 for loss or damage of the equipment.
Provided the Partner Society is meeting the minimum requirements of the PCS agreement, the Partner Society may use the PCS for capturing other documents, which may include the society’s historical records, personal genealogical collections of members, or other such documents, photographs, and ephemera. The Partner Society will inform the TxSGS PCS Chair if the equipment is used to raise funds.
TxSGS reserves the right to retrieve the PCS at any time if TxSGS determines that the Partner Society is not fulfilling the terms of this agreement.
